Self Study Room (“we,” “our,” or “us”) operates the Self Study Room Admin Mobile Application (“the App”). This Privacy Policy explains how we collect, use, and protect information when you use the App.

When you use the App, we collect the following types of data:

• Selfie Images: Photos taken through the in-app camera for attendance (IN and OUT).

• Location Data: GPS coordinates at the time of taking a selfie, to verify attendance location.

• Entry/Exit Logs: Records of students entering and leaving the study room, including timestamps when their QR codes are scanned.

• Admin Account Information: Login credentials provided by administrators to access the App.

2. How We Use the Information

The information collected is used strictly for internal operational purposes:

• To record and verify admin attendance (hours worked).

• To maintain accurate entry/exit logs of students.

• To ensure security and integrity of the study room facilities.

• To comply with audit and operational requirements.

We do not use this data for marketing, advertising, or sharing with third parties.

3. Data Storage & Retention

• All data (selfies, location data, entry/exit logs) is stored securely in our server database.

• No personal data is stored on the device.

• Data is retained for six (6) months, after which it is permanently deleted from our systems.

4. Data Sharing

We do not sell, rent, or share any personal data with third parties.
All information is used solely for the internal functioning of Self Study Room.

5. User Rights

• Students: May request deletion of their entry/exit records at any time by contacting us.

• Admins: Attendance data (selfies, location, logs) is required for operational purposes and cannot be deleted.

• Access Requests: Users may contact us to request details of their stored data.

6. Security

We take appropriate technical and organizational measures to protect data against unauthorized access, loss, misuse, or disclosure. Access to data is restricted to authorized personnel only.

7. Permissions Used

The App requires the following permissions:

• Camera: To capture selfies for attendance and to scan student QR codes.

• Location: To capture GPS location when taking attendance selfies.

These permissions are used only for the purposes described in this policy.

8. Children’s Privacy

This App is intended for use by admins only. It is not directed toward children under the age of 13.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted with a revised “Last Updated” date.
